Now, we’re seeking a UK-based sales leader to help us scale our next phase of growth.

Opportunity:

As an Admin & Operations Specialist at Iris.ai, you will manage the essential administrative and operational functions that keep the business running smoothly.

You’ll be the central point of contact between employees, leadership, and external partners across multiple countries, ensuring seamless support for invoicing, payroll coordination, compliance, events coordination and day-to-day operations.

This role requires someone highly organized, detail-oriented, and adaptable, capable of juggling multiple responsibilities in a fast-paced, global environment.

Key Responsibilities

  • Administration & Vendor Management – Manage contracts, invoicing, and digital documentation; liaise with external providers such as accountants, payroll firms, legal advisors, and benefit suppliers.

  • Events Management – Oversee logistics such as venues, catering, travel, equipment, and materials for company events (team gatherings, offsites, client meetings, conferences); manage budgets, vendor negotiations, and event communications.

  • Travel & Expenses – Coordinate travel arrangements for employees and guests; monitor and process expense requests with proper documentation; support reimbursement processes.

  • Systems & Processes – Maintain and improve company systems (Google Workspace, Asana, Make.com, Factorial etc.), ensuring workflows are efficient and accessible.

  • Payroll Support – Collect and report payroll data, bonuses, reimbursements, and leave information across multiple jurisdictions.

  • Office Support – Oversee Sofia office operations (supplies, maintenance, cleaning) and coordinate bi-annual health and safety checks.

What We’re Looking For

  • 2–4 years’ experience in administration, operations, or office management.

  • Strong organizational and multitasking skills, with attention to detail.

  • Tech literacy - ability to use various software programs and experience with using software tools for automating processes in administration.

  • Experience coordinating with external vendors, payroll providers, or accountants.

  • Experience in events management

  • Knowledge in Google Workspace.

  • Knowledge of HRIS or workflow automation tools.

  • Proactive, resourceful solution-oriented, and comfortable working independently in a distributed team. solution-oriented, and capable of working independently.
